Privacy Policy
Effective 24 October 2026
VoiceNotes (nightingale-voicenotes.web.app) is made by Nightingaley Pte. Ltd. (nightingaley.com). You speak a note, VoiceNotes turns it into text, translates it into English, and saves it to a page in your own Microsoft OneNote. This policy explains what data VoiceNotes uses, why, where it goes, and how to remove it.
The short version
- Your recordings are sent to Google Cloud only to turn them into text and English. We don't keep the recordings or the text.
- Your notes are saved in your OneNote, by the app on your phone, and emailed to you (you can switch that off). We don't keep a copy.
- Our server keeps only what it needs for your plan: your Microsoft account ID and email, your Microsoft sign-in (encrypted, so you stay signed in), minutes used this month, and your Stripe customer and plan.
- We never sell your data, use it for advertising, or share it except as described below.
What we use and why
| Microsoft sign-in | Your Microsoft account ID and email, so we know whose minutes and plan are whose. Permission to read and write OneNote is used only to find or create the VoiceNotes notebook and add your notes to its page. We don't read your other notebooks' contents. Permission to send email is used only to email each note to yourself, and never to read your mail. So you only sign in once, our server keeps your Microsoft sign-in (its renewal token, encrypted) in Google Firestore (Singapore); your phone keeps only a random sign-in cookie. Signing out deletes it. |
|---|---|
| Your recordings | Recorded only from your tap (or press) until you tap again (or let go). Sent to our server and on to Google Cloud Speech-to-Text, then the words to Google Cloud Translation. Processed in memory and not stored by us. If you're offline or over your limit, the recording waits on your phone until it can be sent, then it's deleted there too. |
| Your notes | The time, your original words and the English go straight from your phone to your OneNote (Microsoft). We don't keep them. |
| Email copies | While Email me each note is on (it is unless you switch it off at the bottom of the app), each saved note is emailed to your sign-in address only: from your own Outlook mailbox through Microsoft, or, if your Microsoft account has no Outlook mailbox, from voicenotes@fiveclose.com through Resend. We count how many we send each day (to prevent misuse), not what they say. |
| Minutes used | Seconds recorded this month, stored by our server in Google Firestore (Singapore) to apply the free 30 minutes and the Plus 5 hours. |
| VoiceNotes Plus | Card and payment details are handled by Stripe and never reach us. We store your Stripe customer ID and whether your plan is active, in Google Firestore (Singapore). |
| On your phone | A sign-in cookie, the link to your VoiceNotes page, setup choices, and any notes waiting to be saved, kept in the app's own storage on your device. |
AI services
Speech-to-text and translation are done by Google Cloud's AI services. Google processes your audio and text only to return the result to us; under Google Cloud's terms it isn't used to train Google's models, and we haven't opted in to Google's data logging. Results can contain mistakes, so check anything important.
Service providers
- Google Firebase hosts the app and runs our small server and database (region: Singapore).
- Google Cloud Speech-to-Text and Translation process your recordings and words (Google may process them outside Singapore); see Google Cloud Privacy Notice.
- Microsoft provides sign-in and stores your notes in your OneNote; see privacy.microsoft.com.
- Resend delivers note emails from voicenotes@fiveclose.com to people whose Microsoft account has no Outlook mailbox, and keeps delivery logs for a short time; see resend.com/legal/privacy-policy.
- Stripe processes VoiceNotes Plus payments as an independent controller of your payment data; see stripe.com/privacy.
Your choices and deleting your data
- Your notes: they're in your OneNote. Edit or delete them there, or delete the VoiceNotes notebook.
- Stop the emails: tap Email me each note at the bottom of the app to switch it off.
- Cancel Plus: tap Manage at the bottom of the app.
- Revoke access: remove VoiceNotes at account.microsoft.com/privacy/app-access. The app then can't reach your OneNote.
- Delete your data: email us from the address you sign in with and we'll delete your record from our server within 30 days. (A Plus subscription must be cancelled first; its billing record is kept for tax.)
- On your phone: remove the app from your home screen, or clear the site's data in your browser.
Retention
Recordings and note text are not retained by us. Your stored sign-in is deleted when you sign out, when Microsoft ends it (for example after a password change or 90 days without use), or when you ask. Your minutes and plan record are kept while you use VoiceNotes and deleted when you ask. Subscription records are kept while you're a member and for up to 5 years after, as required for tax and accounting in Singapore. Our server keeps standard technical logs (such as request times and error codes, never your recordings or words) for up to 30 days to keep the service secure and working.
Recording other people
VoiceNotes is for your own notes. If you record anyone else, make sure they know and agree, and follow the law where you are.
Children
VoiceNotes is for people 13 and older. If we learn we hold data about someone under 13, we delete it.
Changes
If we change this policy, we'll update the date above and, for significant changes, tell you in the app.
